Community & Template Guidelines
How we keep the Shape Workspace Community and Network useful, respectful, and safe.
1. What these guidelines are for
These guidelines apply to all Community discussions, comments, templates, and Network interactions on Shape Workspace. They sit alongside our Terms of Service and Privacy Policy.
2. Be respectful and professional
- Treat others with respect, even when you disagree.
- No harassment, bullying, threats, or personal attacks.
- No hate speech or content that targets people based on protected characteristics.
- Keep language professional – many users are participating in a work context.
3. Keep client and colleague information safe
- Do not share confidential information about your organisation, clients, or partners.
- Do not post names, email addresses, phone numbers, or other personal data about other people without a lawful basis.
- When asking for help, anonymise real projects and people where possible.
4. Templates and shared content
4.1 Only upload what you have the right to share
- Only upload templates and materials you created or have permission to use and share.
- Do not upload content that is protected by copyright, trade secrets, or NDAs unless you have clear permission.
4.2 Avoid sensitive data in templates
- Do not include real client names, contract values, or internal financial details in templates.
- Do not include personal data about staff or customers.
- Use placeholder names and sample data instead.
4.3 How others may use templates
Templates you share with the community are intended to be reused and adapted by other Shape Workspace users within the service. You keep ownership of your templates, but by sharing them you allow other users to copy and adapt them for their own work.
5. Prohibited content and behaviour
The following are not allowed in the Community, templates, or Network messages:
- Illegal content or encouragement of illegal activities.
- Hateful, discriminatory, or abusive content.
- Sexually explicit content or content not appropriate for a professional environment.
- Malware, harmful code, or links to unsafe downloads.
- Spam or repeated promotional posts that add little value.
6. Reporting and moderation
We want the Community and Network to be useful and welcoming. While we cannot review every post in advance, we may review content that is reported or appears to breach these guidelines.
We may take actions such as:
- Removing or editing posts that break these guidelines or our Terms of Service.
- Limiting specific features (for example, posting, commenting, or messaging).
- Suspending or closing accounts in serious or repeated cases.
If you see something that concerns you, please report it using any in-app reporting tools or by contacting support@shapeworkspace.com.
7. Enforcement and updates
We will apply these guidelines reasonably and with the aim of maintaining a helpful and safe space for users. We may update these guidelines from time to time as the service evolves.
